Almost every business we work with started on spreadsheets, and that's the right call. They're flexible, free and everyone knows how to use them. The trouble is that they don't tell you when you've outgrown them. You just slowly start losing time, money and customers.
1. There are multiple versions of the truth. Pricing_FINAL.xlsx, Pricing_FINAL_v2.xlsx and the copy on someone's laptop. Nobody's sure which is current.
2. One person knows how it works. If the person who built the formulas goes on holiday and everything slows down, that's a business risk, not a spreadsheet.
3. Quoting takes too long. Looking up supplier prices, calculating margins and copying it all into a template eats hours that should be spent selling.
4. Leads fall through the cracks. Enquiries live in inboxes, phones and sticky notes. Follow-ups depend on someone remembering.
5. You type the same thing twice. Orders get entered in one place, then again in Xero, then again in an email to the supplier. Every retype is a chance for a mistake.
6. Simple questions take hours. "What's our margin on that product line?" or "Which customers haven't ordered in six months?" should take seconds.
7. Mistakes are reaching customers. Wrong prices, missed orders, double bookings. By the time customers notice, it's costing you more than money.
A CRM (customer relationship management) system looks after the front of the business: leads, customers, quotes, follow-ups and your sales pipeline. An ERP (enterprise resource planning) system runs the back: stock, purchasing, orders, fulfilment and finance. Plenty of small businesses need a bit of both, and platforms like Zoho, HubSpot, Xero and NetSuite cover different parts of that picture.
When none of them fit how you work, a custom system can. That's exactly why we built Tradeflow: small suppliers kept telling us they were stuck between spreadsheets and enterprise software.
Not sure where to start? Our CRM & ERP Systems service begins with exactly that conversation, and we'll tell you honestly if you're not there yet.
Tell us what you're working on. The first conversation is free, and you'll get a straight answer on whether we can help.
